How can I request for someone to import my data into One Church?

Describes the options available to get your data migrated from your existing system into One Church.

We provide many tools to help you get the data imported into One Church at your convenience. Almost every type of data in the system can be imported this way. However, it will require experience with Excel or similar program to get the data in a good format. Please see this article for more information on the "do-it-yourself" approach.

If you would prefer for one of our Import Specialists to migrate your data for you, you can submit a Data Import Request by logging into One Church and choosing "Request Data Import" under the user menu in the top right.

You will need the Full Account permission to submit this request.

We will not only import your data into One Church, we will also help set up everything using our in-depth knowledge of the system and industry best practices. With our vast experience in importing data of all kinds, we guarantee this process will go smoothly.

Note: you will need to have an active subscription to be able to request a data import from our team (i.e. not available during the free trial). However, you are welcome to use our import tools at any time.

How does the process work?

You begin by submitting a Data Import Request form (see above), entering any information it asks for in the process. Please be as detailed as you can when answering the questions. You will then get an email confirmation that we received it and will start planning your data migration as soon as possible. If we have any questions during this phase, we will reach out to you using the contact information provided.

Note: if the data is only accessible on your computer and not online (i.e. a program that is locally installed), you will need to export from that system and provide spreadsheets containing the data you would like imported.

We will then analyze all of your data and put together a migration plan document for your review using Google docs. The goal of this document is to make sure everyone is on the same page in regards to what and how the data will be imported. This will also allow us to resolve any issues with the data ahead of time. You can easily and conveniently submit comments and provide feedback through there.

Once approved, we will schedule the actual import for a day and time that works best for everyone. In this way, we can guarantee a smooth transition from whatever system (or systems) you are currently using.

FAQs

What systems can we import from? If your system supports a way to export data into Excel or similar (i.e. data backup file), we should be able to do it! We have experience with many popular church management systems and how they are organized.

Is there a cost for you to import the data for us? When you sign up for a yearly subscription of our Plus or Premium plan, we include a FREE data migration for you. However, the free migration does expire after 3 months so make sure you submit your request within that timeframe.

All other plans (i.e. monthly and free plans) will have a fee associated with the import. The cost (if any) can be found when you go to submit a data import request.

What data can we migrate? We generally try to import as much data as possible. We can import people, contributions, groups, notes, and more. It depends on whether the system you are coming from offers exports for this information or not.

Typically, attendance is very difficult to export out from most systems as there is rarely a workable export function for this. However, there are some systems we can get this from so it depends. This is the same for event data as well.

Is there anything we cannot import? The following data cannot be imported:

  • Forms

  • Workflow and process automation

  • Email and text message logs

  • Calendars

We can import the following for a limited number of systems if they support a way to export it (most don't though):

  • Profile Photos

  • Files

How long does the import process take? Once we receive your data import request and access to your data, you can typically expect to receive the migration plan to review within one to two business days. Then it depends on how fast we can get to a point where you approve the migration plan. Once approved, we would schedule the import for a day that works for everyone. 

What happens to any data that was added before the import? If needed, we can delete all data before doing the import or keep certain portions if desired. However, please note if we don't delete any data during the import, there may be duplicates afterwards. Please see this article for how to merge duplicate profiles. The system will also automatically let you know if it finds any potential duplicate person profiles so you are aware and can handle them accordingly.

Should I add any custom fields before the import to help with the process? We recommend to leave everything as is and not add any custom fields to the system. We will include our recommendation of which fields are best imported as custom fields and will set everything up during the actual import.
