How should I rollout One Church Software to my church? (Implementation Plan)

Describes how to launch and deploy One Church Software to your church (staff, leaders, and congregants).

Below is a general plan that outlines some ways to make the transition to One Church Software easier on your staff, key-leaders, and members.


There are two (2) main sections, one that focuses on what to do as administrators of the system and the second refers to giving members access to the system.

ADMINISTRATIVE SIDE

Add your data to the system.
You can add your people, groups, events and other data manually, by using our import tools, or by requesting data import from one of our data migration specialists.

Decide on permission levels for your staff, key leaders, and others accessing the system.

1. Who is a Super User (should be a very limited number of people)?

2. Who will have Custom permissions (and what will those permissions be)?

3. Who will have Guest access (this will be the bulk of your members)?

*For those with Guest access decide if they will be able to access the church directory and determine what information should be visible within the directory view.

Articles related to Security and Access Control.

Utilize the system overview videos for a general understanding of the software.

These videos are organized by module so you can send videos specifically related to someone’s level of permission. It’s an unlisted playlist on YouTube but anyone with a link can watch.

View training videos to see examples of how to better use the system. These videos will help you get up and running with One Church Software. Shares these videos with your staff and leaders.

Utilize the Help Center as needed.

We have a Help Center you can access 24 hours a day, 7 days a week with many articles covering a wide range of topics regarding our platform. Use the toolbar above to search through our help articles.

Connect the various One Church modules to your church’s website.

Schedule training as needed.

You can schedule a training at any time by logging into One Church and choosing "Schedule a Training" under the user menu in the top right.

Reach out via chat (Core Plus plan).

On any screen within the software, you will find an icon in the bottom right hand corner. Click on this to ask any questions, provide feedback, report an issue, or speak with us about anything you need help with. Chat is available 7 days a week. *This is the best and recommended way for customers on our Core Plus plan to reach us for support.

PROMOTIONAL SIDE

After data import use the system to let your people know that you have a new management system.

Send a mass email telling your church about your new church management system.

1. Use the email template builder within One Church Software to create a graphically rich email message.

3. Below is sample email copy you can use in your email communication.

We are excited to announce that we have started using One Church Software, an online church engagement tool that will help us stay better connected as a church. We, as a church, are passionate about our mission of [insert your mission language/statement here] and we believe that adopting this software solution will aid us in that pursuit.

With this tool you will have access to our various ministry areas, whether that's connecting with groups or volunteering teams, learning about church events, watching sermons and much more. When you have a few minutes I encourage you to watch a brief overview of One Church Software.

**Church Member Friendly Video Introducing One Church Software

Grant System Access in bulk using the query builder (optional)

Note: instead of granting access to everyone, you can encourage your congregation to register for an account themselves using the Register button on the login page (or mobile app). The benefit of this is you avoid granting access to more people than needed.

1. Run a report that will return a list of people who you want to have access to the system.

2. Select: Actions > Mass Change > Grant Access

3. These people will be emailed with a link to help set up their account.

Encourage people to set up their recurring giving within the system and to make sure their information is correct.

Let people know about the App.

Users will search for your church using a zip code. Make sure you check at least one campus in the settings which has an address. If you don't have a campus to add, then make sure your church's mailing address is set under Account Settings > General > Contact at the top of the side navigation menu in One Church. Without an address, your church will not appear in the app.

You can also allow your people to register for access to One Church by providing a link to your account portal, which is [subdomain].onechurchsoftware.com

You can also revoke access if needed.
