Only users with the Reporting permission will be able to access this screen

You have the ability to schedule query builder results to be emailed to yourself or a list of recipients. From the left-hand navigation menu, go to "Reporting," then "Scheduler."

With scheduled reports, you can have the system run a query periodically and email the results to individually added people or current members of specific groups. Scheduled reports run under the permissions and access rights of the indicated report user (the report owner).

For security reasons, the report owner can only be set to the person creating or editing the scheduled report (depending on the permissions below). In addition, two other permissions further controls access:

  • Reporting - grants access to schedule reports for themselves only. They will not be able to indicate other recipients.

  • Limited Report Scheduler - grants the ability to modify the recipient list for scheduled report. This person can only do so for their own scheduled reports.

  • Full Report Scheduler - can see other user's scheduled reports, can edit them, delete them, and take ownership. Note, that they cannot edit the recipient list unless they first take ownership.

When setting up a scheduled report, you can indicate how often it will run (i.e. weekly, bi-weekly, monthly, etc.) and can customize the content of the email. The report output will be automatically added as an attachment. Recipients do not need to have access to the system and their permissions do not matter. In this way, you can share report results with individuals who otherwise do not have access to run the report themselves.
