One Church Software provides a great way to keep track of room usage. Block out dates and times that a room would not be able to be used.
Where to find block-out dates
Block-out dates are managed per-room. To get to them:
In the left-hand navigation, expand Events and click Facilities.
On the Rooms tab, click on the room you want to manage.
Click the Calendar tab on the room's detail page.
Adding a block-out date
Click + Add Blockout.
In the Add Blockout Date dialog, enter a Reason (required).
Choose a Date range. Leave All Day checked, or uncheck it to specify start and end times.
Optionally, set a Recurrence rule using the dropdown (default is Does not repeat).
Click Save.
Editing a block-out date
On the room's Calendar tab, click the block-out entry you want to edit.
In the Edit Blockout Date dialog, modify any of the fields.
Click Save.
Deleting a block-out date
On the room's Calendar tab, click the block-out entry you want to remove.
Click the red Delete button at the bottom-left of the dialog.
In the Delete Blockout Date confirmation, click Continue.
