How do you generate end-of-year giving statements?

Describes how to generate end-of-year giving statements to be mailed or emailed.

Version 7

Generate Statement for the Entire Church

To get started, click on "Contributions > Transactions" in the left-hand navigation and then select the "Generate Statements" button.

A pop-up will appear with the following fields.


General

Transaction Period


The time of the transactions to include in the statement. The default is "Current Year." If you are generating statements for the previous year, select "Last Year" from the dropdown.

If none of the built-in periods suit your needs, select "Custom" to enter a specific date range. Or click on the date fields.

Recipients

This determines the group you may want to generate the statements for. In Version 7 and on, you can generate all the statements at once or select from the following options

  • People - All the donors who have people profiles

  • Businesses - All the businesses that have business profiles

  • External - All the donors not assigned to a profile


Formats

The desired method of delivery for the statements.

Mail / PDF

The Mail / PDF option will generate a PDF document for each statement. The following are some customizations for generating printed statements.

  • Page Margins - The printed PDF is designed to fit in a #10 envelope.

    • If you click more options, it will give you the ability to adjust these, but the document will no longer fit the #10 envelope.

  • Group By - Giving statements can be generated grouped by page count. Separate PDFs will be generated based on how many pages each giving statement has. A zip file will be downloaded of each of the page counts. Giving statements will be generated in alphabetical order by donor's last name or business name.

  • Exclude donors with an email address - In Version 7 and on, you can check a box to choose to exclude printing giving statements for those donors that have a viable email address.

Choosing to exclude donors with an email address gives you flexibility to print all your statements or choose both the Email and PDF formats and only print those that are needed.


Email

Checking the "Email" format will send a link to each donor with a viable email address where they can download their giving statement.



Template - In Version 7, you can edit and save multiple email templates specifically for giving statements. Clicking on to the right of the dropdown will give you the ability to manage your templates.

Do NOT remove information with the parentheses "{ }" in the email, as this will fill the variables in with the user's profile data. Emails will not send without the {download_link} variable.

Expires on - This controls the days from when the email is sent that the download link will be supported. After this period, the statement would need to be reissued.

CSV

This will generate a CSV file with all of the transactions and pledges for the time period selected, sorted by contribution group number.

Deliverability

At the bottom left-hand corner of the statement generator is a button labeled "View Deliverability". Clicking on this will open a pop-up showing the ability to email and/or send a giving statement through the mail or email.


This shows you the percentages of recipients that have the corresponding contact info. They all can be clicked to filter the recipient list.

Filtering for unreachable will show those for whom you do not have contact info.


Content


Greeting - The message to appear at the top of the statement. Use this field to add a personalized message for the person. You can update the default by checking the box under the field.

Footer - The message to appear at the bottom of the statement. Use this field to add a disclosure. You can update the default by checking the box under the field.

Options

This screen includes additional customizations that can be included on

Minimum Amount - Only statements with at least this amount in total will be included.

  • Include individual line items - If checked, details of each transaction will be included. If not, only the total amount given will be displayed in the statement. The default is yes.

  • Include non-deductible transactions - If checked, payments to non-deductible funds will be included. If not, only deductible contributions will appear. The default is no.

  • Include totals for each designation - If checked, designations are summed up on a statement. If not, just the total amount will be shown. The default is no.

  • Include pledge progress - If checked, the progress with a pledge will be included. If not, the progress pledge will not be tracked. The default is yes.

  • Include statements without an address - If checked, people will be included who do not have a listed address. If not, people with an address will only appear. The default is no.

  • Always use address on donor's profile (if any) - If checked, people's address will be included. If not, addresses will not appear. The default is no.


Version 6

Generate Statement for the Entire Church

Click on "Contributions > Transactions" in the left-hand navigation and then select the "Generate Giving Statements" button.

A pop up will appear with the following fields.

Transaction Period - (see below) the time period of the transactions to include in the statement. If none of the built-in time periods suit your needs, select "Custom" to enter a specific date range. The default is "Current Year." You will need to change to "Last Year."

Options

  • Include individual line items? - If checked, details of each transaction will be included. If not, only the total amount given will be displayed in the statement. The default is yes.

  • Include non-deductible transactions? - If checked, payments to non-deductible funds will be included. If not, only deductible contributions will appear. The default is no.

  • Include totals for each designation - If checked, designations are summed up on a statement. If not, just the total amount will be shown. The default is no.

  • Include pledge progress - If checked, the progress with a pledge will be included. If not, the progress pledge will not be tracked. The default is yes.

  • Include statements without an address - If checked, people will be included who do not have a listed address. If not, people with an address will only appear. The default is no.

  • Always use address on donor's profile (if any) - If checked, people's address will be included. If not, addresses will not appear. The default is no.

Statement message - the message to appear at the top of the statement. Use this field to add a personalized message for the person. This message is automatically saved so that it can be reused the next time a statement is downloaded.

Group By

Note, giving statements can be generated grouped by page count. This is controlled by selecting Group By Page Count that appears at the bottom of the giving statement generation pop up.

After choosing the Generate PDF button, a zip file will be downloaded of each of the page counts.

This only appears if the Format is PDF. Statement generation is much slower (around 13 times slower) if grouping statements by page count.

Giving statements will generate in alphabetical order by donor's last name or business name.

Send as an email

In the Display section select "Format" dropdown.

Click on "Email" to send a link to each individual donor where they can download their own giving statement.

When the "Email Format" is selected you will have the option to change the content of the email message.

Download as a CSV

In the Display section select "Format" dropdown and select CSV.

Important: depending on how many transactions there are, this process could take a while.
