How do I set the dates and times on a service plan?

Describes how to indicate the dates and times a service plan takes place on.

You will need the Full Write Service Plans permission to perform this action.

On a service plan, the dates and times are managed within the Dates & Times box on the rightmost side of the page.

To add a new time, click on the "add new" button in this section. You can also edit an existing time by hovering over one and then clicking on the pencil icon that appears (or the delete, click on the x icon that appears).

Adding/Editing a Plan Time

When adding/editing a plan time, the following pop up appears:

From here, the following fields can be edited:

  • Type - the type or purpose of this time. There are 3 types that come built into the system: Service, Rehearsal, and Other. You can add your own custom types by clicking on the cog menu to the right of the dropdown

    • Important: a service plan can take place on different dates. The name of the service plan is determined only by the dates of the times where the type is Service. The order of service on the plan also only considered times of type Service.

  • Name - this is an optional nickname for this time.

  • Date/Time - the date and time. Both the start time and end time are required.

  • Assigned Teams - the teams this time is meant for. Scheduled volunteers on these teams will be assigned to this time by default. However, this can be overridden at time of scheduling. For example, if you were adding a rehearsal time, you likely will only want the Worship team to attend. However, for service times, you will likely want everyone to go.

Once finished, click on the "Save" button to save your changes.

Tips

  • The checkmarks next to each time on the right side of the page allows you to filter both the order of service and the volunteers assigned within the Serving tab. Only checked times will be shown in those respective areas.

  • At least one time of type "Service" should be added to a service plan. Otherwise, the plan won't have a date. The other time types aren't used to determine this.
