How do I request a child safety training course for a volunteer or ministry employee?

Describes how to request child safety training and track progress.

You will need the Write Background Checks permission to perform this action. The Protect My Ministry integration will also need to be enabled and include the Child Safety Training module. See this article for more details on enabling this integration.

A training can be requested as part of a background check or standalone.

Adding child safety training to a background check order

When adding a background check, indicate whether you would also like the applicant to complete a child safety training course by choosing the appropriate course from the Child Safety Training dropdown.

The applicant will be emailed a link to complete the training course once the background check has actually been ordered. This means if you send an invite link for the applicant to submit their own background check, the email for child safety training will not be sent to them until they've submitted the background check itself.

Requesting child safety training outside of a background check order

You can request child safety training without also submitting a background check. To do so, go to Contacts > Screenings > Child Safety Trainings from the left hand menu and then click on the Request Training button.

Alternatively, you can go to the person's profile and click on Request Training button under the Safeguards > Child Safety Trainings tab.

A pop up will appear where you can indicate who is should take the training along with which training. Choose a training to see more details about what is in the course.

If the chosen applicant does not have an email or birthday on their profile, these fields will appear so you can conveniently enter this information from this screen. These two fields are required to request a training. The email and birthday entered here will automatically be added to the person's profile.

Important: Person will have 14 days to complete the training before it expires.

Once you click on Submit, the person will receive an email containing a link to complete the course.

Once they complete the training, their score will automatically be imported into the system along with whether they passed or not. The requester will also be emailed. You can view and print their completion certificate if desired by viewing the results under Contacts > Screenings > Child Safety Trainings from the left hand menu or from the person's profile under the Safeguards > Child Safety Trainings tab.

Tips

  • To change the email template sent to applicants when a training is requested, go to Contacts > Screenings > Child Safety Training from the left hand menu. Then use the dropdown next to the Request Training button and choose Settings. A pop up will appear where you can change the subject and email body. Note that {training_link} is required to be somewhere in the template as that is replaced with the actual training link the applicant will need.
