How do I upload custom labels?

Describes the process of uploading custom name and security labels.

You will need the Check-In permission to perform this action.

Important: custom labels are only supported with Dymo printers. 

Use the Dymo Label Software to design and export custom labels. How to use the software to design labels is outside the scope of this article. However, you can read this user manual from Dymo to learn more.

Important Note Regarding Installation

Dymo Label Software is required to make custom labels. If you currently have Dymo Connect installed, you already have the Dymo Label Web Service installed. To avoid compatibility issues, choose a custom installation and remove the "DYMO Label Web Service" feature from the installation.

Getting Started

Open the Dymo Label Software and select the label you want to use. We recommend using the Large Shipping (2 5/16" x 4") label.

Adding Label Elements

Next, select the "Insert" tab and start placing elements by dragging them onto the label canvas. You will mostly use the "Text" object, but feel free to use any other ones as well. To change how an element looks, right-click and select "Properties" or double click on the dotted lines surrounding the element.

Important: When adding elements which contain any of the variables below, make sure it is in it's own text label object.

Setting Variables

The following variables are recognized by the check-in system. Use the list which corresponds to the type of label you are designing (e.g. name or security).

Tip: If you want to add the same variable multiple times on a label (i.e. perhaps because you want the same content on two halves of the same label), simply add _1 or _2 to the end of the variable name below. For example, to add IDENTIFIER multiple times, set the variable to IDENTIFIER, IDENTIFIER_1, or IDENTIFIER_2.

Name Label Variables

The following are the variable names you can add to your name label templates.

Required

  • IDENTIFIER - the auto generated code for the check-in (e.g. M254)

  • PERSON_NAME, FIRST_NAME or LAST_NAME - at least one of these must be included. Person name is the first and last name together. 

Optional

  • DATETIME - the current date and event time

  • BARCODE - the unique barcode number for the person. Use the barcode label element if you want to be able to scan it.

  • EVENT_NAME - the name of the event being checked into (e.g. Sunday Worship)

  • GROUP_NAME - the name of the group being checked into (e.g. preschool kids)

  • NOTES - medical notes such as allergies

  • CONTACT_NAME - the name of the authorized person

  • CONTACT_PHONE - the phone number of the authorized person

  • PAGER - if pagers are enabled on the event, this will contain the person's pager number

Security Label Variables

The following are the variable names you can add to your security label templates.

Required

  • IDENTIFIER - the auto generated code for the check-in (i.e. M254)

Optional

  • DATETIME - the current date and event time

  • EVENT_NAME - the name of the event

  • GROUP_NAME - a distinct list of all the groups that members of the family checked into. 

  • BARCODE - the unique barcode number for the person. Use the barcode label element if you want to be able to scan it.

  • PAGER - if pagers are enabled on the event, this will contain the pager numbers from associated people checking in. Make sure it is tall enough to support the maximum expected number of family members.

While designing the label, you need to tell the system where to put data specific to the person checking in. For example, the system needs to know where the person's name should go. You do this by specifying which label elements should act as variables. In this way, the check-in system will replace the text with the correct information (e.g. event name, person name, date, authorized people). Otherwise, if you do not do this, whatever text you put on the element will be what prints.

Right-click on the text you would like to act as a placeholder and select "Properties." In the following screenshot, we will be making the check-in identifier a variable.

A pop up will appear. Select the "Advanced" tab and enter the name of the variable in the "Reference name" field (see below for list). When finished, click on "OK".

Exporting the Design File

Once you are finished designing the label, click on the "File" menu at the top and select "Save As..." or "Save" depending on whether this is a new file.

Make sure it has the .label extension and finish saving it somewhere. Next, is to upload the file into One Church Software.

Uploading Custom Label

Click on "Events > Check-In > Labels" in the left hand navigation menu. The list of currently available labels appears. The system comes with default name and security labels. You will not be able to edit or delete them as denoted by the lock icon next to the name. However, you can upload custom labels by clicking on the "Add New" button at the top.

A pop up will appear with the following fields:

  • Name - the name for the label

  • Type - the type of label. There are basically two types of labels: name and security. Name labels are printed per person checking in while security labels for printed for the entire group being checked in. Typically, the name label would go to the child and the security label would go to the parent. You can add, edit, and delete types using the drop down menu to the right. However, any new types will be treated as name labels when it comes to printing.

  • File Upload - the .label file you designed in the previous steps. You will see a preview of the label file.

Click on "Save" when finished to upload the custom label.
