What are System Tasks?

Describes what System Tasks are and where they appear on the dashboard.

System Tasks is a section of the To Do List widget on your Home dashboard. It collects the items that need your attention so you can stay on top of them in one place.

System Tasks are generated automatically. What you see depends on your permissions, assignments, and other settings. Items can include:

  • Access requests

  • Workflow assignments

  • Workflow reassignment requests

  • Connection assignments

  • Group membership requests

  • Position membership requests

  • Pending account deletion requests

  • Pending resource requests

  • Unmatched contributions

  • Recurring schedule errors

  • Potential duplicates

  • Background checks ready for a decision

  • Past due bills

  • Past due invoices

  • Unclosed batches

  • Unclosed accounting periods

  • Draft register entries

  • Pending imported bank item review

Clicking an item takes you to the page where you can handle it. To make sure every user sees their System Tasks, add the To Do List widget to the Global Default dashboard.

The background check item reads background check ready for a decision. It counts checks whose results have come back from Protect My Ministry but have no decision recorded yet. Only users with both the Read Background Checks and Write Safeguards permissions see it. Clicking it opens Contacts > Screenings > Background Checks, filtered to checks that are ready for a decision and not archived. The item clears once a status other than Pending is saved on the person's Background Check safeguard, or when the check is archived.

Tip: Workflow reassignment requests appear here for the workflow's managers. If a workflow has no managers assigned, no one is notified of a reassignment request and it won't surface in anyone's System Tasks. People with the Full Write Automations permission can still find and handle the request from the workflow's Assignments tab. Adding at least one manager to every workflow is the reliable way to make sure these requests get seen.
