Trigger Task

The various options that can trigger a workflow to begin

The Trigger task allows you to set conditions which, when true, automatically add the person to this workflow. If there is no trigger, then a person will need to be manually added, set to be added via form automation, or connected from another workflow into the current one.

You can use the Trigger task while adding a new workflow or editing an existing one. In the workflow editor, just drag the Trigger task into the canvas area, and you will find the Properties for the Trigger open in the side modal.

Options for Trigger tasks

Name - the optional name of the trigger
​Description - the optional brief description of the trigger

Disable Trigger - when checked, the trigger stops adding people to the workflow. The workflow itself stays enabled. See Disabling a trigger below.

Trigger Type - choose from the options below:

  • Scheduled Query - Anyone who appears in the results of the chosen query will be added to the workflow. The query will run on the schedule set.

  • Profile - Whenever a person’s profile is added or updated, the query chosen in the next field is executed. If they appear in the results, they are added to the workflow.

In either case, the query can be chosen from the dropdown list of saved queries or you can use the 3-dots menu to add a new one by choosing + New Query. This menu also includes the options to Edit the query or Refresh the query on screen.


Disabling a trigger

You can turn off a single trigger without disabling the whole workflow or deleting the Trigger task. This is useful when you want to stop new people from being added automatically, for example while you update the trigger's query.

  1. Go to Automation > Workflows and click the workflow's name to open the Editor.

  2. Click the Trigger task on the canvas to open its Properties.

  3. Check Disable Trigger.

  4. Click Save Now.

The Trigger card shows a Disabled label. To turn the trigger back on, uncheck Disable Trigger and click Save Now.


When a trigger turns itself off

If a trigger runs into an error, One Church Software disables it automatically and emails every Workflow Manager on the workflow with details about what happened. Once you've fixed the problem, uncheck Disable Trigger and click Save Now to turn it back on.

Tip: Make sure your workflow has at least one Workflow Manager so someone receives these alerts. If you see This workflow does not have any managers. in the editor, see How do I manage Workflow Managers?
