How do I print checks from the queue?

Print the checks waiting in your print queue on your check paper, one at a time or several at once.

You will need the Full Write Accounting permission to perform this action.

Checks you write in Accounting wait in the print queue until you print them on your check paper. You need at least one check template before you can print. See How do I manage check templates?.

Open the print queue

Go to Accounting > Print Checks in the left-hand menu. The page has two tabs:

  • Queue - checks waiting to be printed. The number on the tab counts the waiting checks in all your registers.

  • Templates - your check designs. See How do I manage check templates?.

On the Queue tab, choose the bank account in the Register drop-down. The number beside each register shows how many of its checks are waiting.

Print checks

  1. Go to Accounting > Print Checks in the left-hand menu. The Queue tab opens first.

  2. Choose the account in the Register drop-down.

  3. To print one check, click Print at the end of its row. It is also in the 3-dots menu at the start of the row. To print several, check their rows, then choose Print from Bulk Actions.

  4. In the Print Checks window, check the settings described below.

  5. Click Preview and Print.

  6. Load your check paper into the printer, then print from the preview. Close the preview when you are done.

  7. Answer the prompt about how the print went. If something went wrong, use it to print the checks again.

Note: The preview shows only the text that will print, not the check design. The text is printed onto your pre-printed check paper.

Print Checks window

  • Starting Check # - the number on the first check you will be printing on.

  • Check Template - the template that matches the check paper in your printer. A preview of the template shows below it.

  • Check Position - where on the sheet to start printing: Top, Middle, or Bottom. Use this when the sheet in your printer is partly used. See How do I print on a partly used sheet of checks?.

  • Group By Payee - on by default. Checks to the same payee are combined into one printed check. Turn it off to print each check separately.

A note at the bottom shows how many checks will print and their total.

Tip: Need to correct a check after it is printed? You can still change its Check #, Payee, Memo, and line item descriptions by editing it from the register, until the check falls in a closed accounting period. Fields that affect your accounting reports are locked once the check is printed.

Void and reissue

Bulk Actions also has Void and reissue, for checks that need to be voided and printed again. See How do I void a check?.
