The rooms report is a live, station-side view of who is currently checked in. It is built for a classroom tablet or check-in table to leave open all service. This article covers what it shows, how to search and filter it, and how to check someone out directly from it.
Tip: The rooms report is exempt from the station's idle reset, so it is safe to leave open on a classroom tablet for the whole service without it timing out.
Opening the rooms report
On any check-in station, desktop or mobile, tap the report button in the footer, then enter the station PIN.
The header still shows the event name and still opens the event switcher when tapped. Rooms report is a heading inside the body of the screen, not part of the header.
Tip: Tick Remember PIN on this station when the keypad appears. You can then move between the report and a family's board without retyping the PIN each time, which is what makes the classroom checkout loop practical. See What are station pins?
Reading the report
The report answers who is checked in right now, and updates itself the moment anyone checks in or out anywhere at the event, so you do not need to refresh it.
Two tabs, Checked in and Checked out, each show a live count. These tabs are the only place the totals appear, and they reflect whatever filters are currently applied.
A LIVE badge with a pulsing dot shows the connection is up. If the connection drops, this changes to RECONNECTING along with an "as of" time stamp, so the screen never claims to be more current than it is. It refreshes at least once a minute on its own either way, and refetches immediately once the connection is restored.
A search field filters the loaded list by name as you type, and ignores accents, so typing "jose" will find "José".
Each row shows the room, then the group, with a time on the right, for example arrived 9:02 AM, or picked up 10:31 AM · Sarah G. when a guardian was recorded. Walk-in visitor passes are marked with a Guest badge.
Tip: A row highlights for about four seconds right after someone arrives, showing just arrived instead of arrived. This covers anyone whose check-in happened while the screen was open, as well as anyone checked in within the last minute, so opening the report right after a rush of arrivals still shows who is new. The Checked out tab never highlights arrivals, and the very first time the report loads it does not glow either, so the whole roster does not light up at once.
Checking someone out from the report
Tap any row to open that person's board. This is the fastest way to check a child out without going back to search.
From the rooms report, tap the row for the person you want to check out.
Complete the checkout on their board as usual.
Tap Go back to return to the rooms report, with your tab and search text restored exactly as you left them.
A Back button at the bottom of the report returns to the station's home screen.
A board opened from the report reads Go back where it would normally read Start over. That is how you can tell the round trip will return you to the report rather than to the home screen.
Filtering by room, group, or session
Tap Filters to open a panel with Rooms, Groups, and, only when the event has more than one, Session. Selections apply instantly and appear on the main screen as removable chips.
If an event has no rooms, no groups, and only one session, no filter controls are shown at all, because there is nothing to filter by.
Filters are remembered per event, so a classroom tablet keeps its room selection through a reload and even overnight.
Warning: If the rooms report does not seem to show everyone, check the Filters chips first. A leftover filter from an earlier session is the most common cause of a report that looks incomplete.
Helpful tips
The report loads the first 500 people per filter combination. Past that, it says so directly, for example Showing the first 500 of 812 — narrow the filters to see everyone, rather than quietly leaving people out. Narrowing by room, group, or session will bring the count back under the limit.
If the report fails to load, a tappable Couldn't load the report — tap to retry row appears. If a later background refresh fails after rows are already on screen, those existing rows stay in place rather than being replaced with an error.
The rooms report works the same way on the desktop app and the mobile app.
A check-in is accepted by the server and committed a moment later in the background, so the report can lag a beat behind a very fast check-in. That is normal and nothing has been lost.
