How do I switch from Breeze to One Church?

Describes how to export your Breeze data and move to One Church.

Moving from Breeze to One Church Software comes down to three steps: export your data from Breeze, bring it into One Church, and help your givers move their recurring gifts. This article walks through each one.


Before you start

  • Export everything before you cancel Breeze. Only the Breeze Account Owner can cancel. Access ends right away, and Breeze permanently deletes the data six months later.

  • Keep the ID columns in your exports (especially the Breeze ID). They keep families together and link each person's giving, notes, and group memberships to the right profile when your data is imported.

  • Breeze exports come out as Excel files. If you're using the import tools, open each file and save it as CSV first. If our team is importing, send the files as they are.

  • Hold off on adding custom fields in One Church. If our team is importing for you, we'll recommend which fields to create and set them up during the import.


Choose how your data gets imported

You have two options. Either way, you'll use the exports described in the next section.

Have our team import it

You will need the Full Account permission to submit a data import request.

  1. Click your user avatar in the top right of the toolbar and choose Request Data Import.

  2. Fill in the form. Mention that you're coming from Breeze and describe what you'd like brought over.

  3. Our Import Specialists review your files and send you a migration plan to approve before anything is imported.

Import it yourself

You will need the Import permission to use the import tools.

Go to Settings & Tools (Cog icon in the tool-bar) > Tools/Utilities > Import Data, click + New Import, choose a Type, and upload a CSV file. Import people first, then the records that link to them, such as notes, group members, and transactions.

Tip: Map the Breeze person ID to External ID and the household ID to Family ID. That's what lets later imports find the right person and keeps households together.


Export your data from Breeze

Breeze has an account-wide export plus exports inside each area. Menu names below match Breeze's help center at the time of writing.


Account-wide export

  1. Go to Account Settings > Manage Account > View More > Export.

  2. Choose a data type (People, Tags, Events, Contributions, or Notes) and click Export.

  3. Repeat for each type.

If the contributions export times out, export giving from the Giving area one year at a time instead.


People and families

  1. Open any people list and click Export, then Excel.

  2. Click the pencil icon, choose all fields, and click Download.

Warning: Breeze doesn't include Family ID or Family Role in the exports you can run yourself. Ask Breeze Support for an export that includes them. Without them, each person is imported as their own family.


Giving

  • Contributions: Giving > Reports. Set a date range and click Download as Excel. For a long history, export one year at a time.

  • Pledges: Giving > Pledges. Choose a campaign and click Download As Excel. Repeat for each campaign.

  • Recurring gifts: Giving > Online Giving, open the Recurring tab, and click Download As Excel. You'll use this list to follow up with givers.

  • If you give through Tithely, also export your transactions from Tithely.


Tags, attendance, and forms

  • Tags: open a tag and click Export. Many Breeze churches use tags for groups, so export each tag you want brought over.

  • Attendance: go to Events, open an event, click View Details > Reports, set your dates, and click Download as Excel. Reports default to the last 28 days, so set the range you need.

  • Forms: go to Forms, click View Entries, and click Download as Excel.


What doesn't transfer

A few things need to be set up fresh in One Church:

  • Recurring gifts and saved payment methods. Card and bank details stay with Breeze's payment processor, so givers set up their recurring gifts again in One Church Giving (see below).

  • Forms and workflows. Rebuild these in One Church. Export past form responses if you want to keep a record of them.

  • Email and text message logs, and calendars.

  • Volunteer teams and schedules. Breeze doesn't offer an export for these, so plan to rebuild them in One Church.

Attendance history can't be brought in with the self-import tools. Include your attendance exports with a Data Import Request and our team will let you know what can be imported. Profile photos and files can only be imported from a few systems, so ask about them in your request too.


Move your recurring givers

  1. Set up One Church Giving. See Setting up Giving Portal

  2. Pick a switch-over date and tell your givers ahead of time.

  3. Ask each recurring giver to set up their gift in One Church, then cancel the matching gift in Breeze. Starting the new gift after their last scheduled Breeze gift keeps anyone from being charged twice or missing a gift.

  4. Use your Breeze recurring gift export to follow up with anyone who hasn't moved yet.
