When a donor uses the giving portal in One Church Software, the system follows a step-by-step process to match the donation with an existing profile.
First, it checks the email address entered. If the email matches exactly with only one profile in the system, that profile is used. However, if no unique match is found—either because the email doesn’t exist in the system or it’s associated with multiple profiles—the portal will then request the donor’s name.
The system will attempt to match both the email and name combination to an existing profile. If no matching profile is found after both checks, a new profile will automatically be created to house recurring giving schedule. Individual donations that don't match to a profile will show up in the system as Unmatched. From there, they can either be left as external donors or the profile can be created or matched to an existing one.
