Why isn't my event appearing in the Check-In App?

Describes the steps to take if an event is not appearing in the Check-In App.

If an event isn't showing up in the Check-In App, it's almost always because of one of a handful of event settings. Work through the areas below in order — most missing events are resolved by the first two or three checks.

1. Is the event set to public (not private)?

Only public events with check-in enabled will appear in the Check-In App. If the event is marked as private, it will be hidden from the app even when everything else is configured correctly. Open the event, confirm its visibility is set to public, and save your changes if you need to adjust it.

2. Is check-in enabled for the event?

Go to Events > Calendar in the left-hand navigation menu and find your event. Look for the Check-In indicator in the colored buttons shown beneath the event name. If check-in isn't enabled, click Actions > Edit event, open the Check-In tab, and switch the toggle on. Without this, the event won't be available to any station.

3. Are the check-in times set correctly?

An event is only available for check-in when the current time falls within its check-in window. That window is defined either by the specific Start Check-In and End Check-In times, or by the event's general Start Time and End Time if no dedicated check-in times are set. If no Start Check-In time is specified, check-in opens ahead of the event's start time. Double-check that the current time actually falls inside this window — an event that has already ended, or hasn't opened yet, won't appear.

4. Is the event a single multi-day event?

For events that span several days but are set up as one single event, check-in may only be allowed once for the entire duration rather than each day. If you need people to check in daily, set the event up as a recurring event instead, so each day resets for check-in. You can also edit individual instances of a recurring event if the check-in times vary from day to day.

5. Is the station itself set up and online?

If the event looks correct but still isn't showing, confirm the check-in station is properly authorized and connected. The station must be online and running the current Check-In App, and it needs to be pointed at the correct account subdomain. If the station was recently added, it may need to be re-opened or refreshed to pull the latest events.

Still not appearing?

If you've confirmed the event is public, has check-in enabled, has valid check-in times, and the station is online but the event still isn't showing, reach out to the One Church Software support team with the event link, name, date, and time so they can take a closer look.
