You will need the Full Write Contributions permission to perform this action. Posting is available when Accounting is turned on for your church.
Posting a batch records its money in your accounting books. When you close a batch with Post to accounting? turned on, One Church Software creates one register entry in the bank account you choose, with an income line for each designation in the batch.
Tip: Enter contributions in Contributions and post them, rather than typing the same gifts into Accounting by hand. Posting keeps your giving records and your books in step.
Post a batch while closing it
Open the batch and click the green Open label, or select Actions > Close batch. See How do I close a deposit batch? for the full closing steps.
In the Close Batch window, make sure Post to accounting? is turned on.
Under Where was the money deposited?, choose the Deposit Account. This is the bank account in your chart of accounts that received the deposit. Only accounts marked Use as register? appear in this list. See How do I set an account as a register account?.
Under Which designations should be posted to accounting?, check each designation in the batch. Each one shows its Deposit amount and any Fees.
Fix any designation that shows a red Do Not Post label. That means it has no default account and fund yet. Click the label to switch it to a green Post label, then choose the account and fund for its Deposit line. To leave a designation out of the entry, click its green Post label to switch it back to Do Not Post.
Check the totals at the bottom of the window. Posting Deposit shows how many designations will post and their total, and Fees shows the processing fees that will post.
Click Close.
Choosing accounts and funds
Deposit - the income account and fund the gift posts to. This line is required for every designation set to Post.
Fees - the expense account and fund for processing fees. This line appears when the designation has fees in the batch.
Covered - the account and fund for fees that donors chose to cover on top of their gift. These are kept separate from the gift itself. An income account is recommended.
Split - adds another line so you can divide the deposit across more than one account or fund by % of Deposit.
check all / uncheck all - sets every designation to Post or Do Not Post at once.
Tip: Set a default account and fund on each designation once, and they fill in automatically every time you close a batch. You can still change them in the Close Batch window. See How do I set where a designation posts in accounting?.
What posting creates
One register entry in the Deposit Account you chose, with the type Batch Posting and the batch ID as its reference. You can find it under Accounting > Entry. See How do I work with account registers?.
An income line for each posted designation, using the account and fund you chose.
A gray Fully Posted or Partially Posted label on the batch, and the account under Deposited to in the batch Details panel.
A batch can only be posted once. To change a posted batch, reopen it. Reopening removes its register entry, so close and post it again when you are done. See How do I find and reopen a closed batch?.
