How do I close a contribution batch?

Describes how to close a contribution batch once its deposit reaches the bank.

You will need the Full Write Contributions permission to perform this action.

Close a batch once you have confirmed its money is in your bank account. Closing marks the batch as deposited. If your church uses Accounting, closing is also when you post the batch to your books.

Tip: Batches that stay open for more than two weeks show up as unclosed batches in the System Tasks widget on the home page, for anyone with the Full Write Contributions permission.

  5. If the batch came from online giving, enter the Deposit Date in the Deposit Dates (optional) section. See Deposit dates for online batches below.

  6. If your church uses Accounting, decide whether to post the batch. Leave Post to accounting? on to create the accounting entry, or turn it off to close the batch without posting. For the posting steps, see How do I post a contribution batch to accounting?.

  7. Click Close.

Deposit dates for online batches

Batches created by online giving list their Settlement Date, Name and Deposit Amount in a Deposit Dates (optional) table, with a Deposit Date field for each batch.

Enter the date the money arrived in your bank account. This changes the batch posting date to the deposit date, which makes batches easier to match to your bank statement. If you are posting to accounting, the deposit date is used for the accounting entry. If you leave it empty, the settlement date is used instead.

After a batch is closed

  • The green Open label changes to a red Closed label.

  • If the batch was posted to accounting, a gray Fully Posted or Partially Posted label appears next to it. Partially Posted means some designations were set to Do Not Post.

  • The Details panel on the right shows Deposited to, the bank account the batch was posted to.

  • The batch is only partly editable while closed. To make larger changes, reopen it from the Actions menu with Reopen batch. See How do I find and reopen a closed batch?.

  • Closed batches are hidden from the Deposit Batches list by default. To see them, open Filter, check Closed under Status, and click Search.
