How do I send a mass email?

Describes how to email several people at once using the Query Builder.

You will need the Reporting permission to use the Query Builder. Any non-guest user can send emails.

Sending mass emails is an important part of communication for many churches. With the Query Builder, you can filter your people by all kinds of criteria — such as birthdays, last names, addresses, or form submissions — and then email everyone who matches in a single step.


Using filters, queries, and columns

  1. Go to Reporting > Query Builder, in the left-hand navigation menu, and make sure the Data Source is set to People.

  2. On the Designer tab, build your list of people: add Filters on the left to narrow down who you want, review and adjust the Query in the middle, and choose your Columns on the right. Columns control what appears in the results but do not change who receives the email.

  3. Select Run Query to see everyone who matches.

  4. Above the results, open the Bulk Actions menu and choose Send email.

Preparing to send a mass email

The Send Email modal opens, where you set up your message:

  • Who is this from? - send the email From a specific person or From your organization.

  • Recipients - the people from your query are added automatically. Select Edit to adjust the list, choose which email address to use, or include additional recipients who were not part of your query.

  • Template - optionally choose a saved email template to start from.

  • Subject and Body - both are required. Write and format your message using the toolbar. You can also change your email signature here.

  • add attachment - include a file with the email if needed.

Under Timing, choose Now to send the email right away, or Later to schedule it for a date and time. Select Send when you are ready.
