You will need Super User access (or equivalent administrative permissions) to perform most of the actions in this guide.
Below is a general plan that outlines some ways to make the transition to One Church Software easier for your staff, key leaders, and members. There are two main sections: one focuses on what to do as administrators of the system, and the second on giving members access to the system.
Administrative side
Add your data to the system
You can add your people, groups, events, and other data three ways:
Add records manually as you go.
Use the built-in import tools at Settings & Tools (Cog icon in the tool-bar) > Tools/Utilities > Import Data. See How do I use the import tools?
Request a data import from one of our data migration specialists. See How can I request for someone to import my data into One Church?
Decide on permission levels for your staff, key leaders, and members
Decide who should have which level of access before granting users access to the system:
Who is a Super User? Keep this list very limited — Super Users can change anything in the system.
Who will have Custom permissions, and what should those permissions be?
Who will have Guest access? This will be the bulk of your members.
For Guest access, decide whether they should see the church directory and what information should appear there.
Roles are managed at Settings & Tools > Your Organization > Security > Roles. See articles related to Security and Access Control.
Use the system overview videos
These videos are organized by module so you can share videos that match someone's permission level.
View training videos
Training videos walk through real workflows in One Church Software. Share them with your staff and leaders to get everyone up and running.
Use the Help Center
The Help Center is available 24 hours a day, 7 days a week and covers a wide range of topics. Use the search bar at the top of the help site to find articles, or click the help icon inside One Church Software to open it.
Connect One Church modules to your church's website
Schedule training as needed
You can schedule a live training session at any time. Click your user avatar in the top right of the toolbar to open the profile menu, then select Schedule a Training. See How do I schedule a training session? for the full walkthrough.
Reach out via chat
On any screen within One Church Software, you'll see a chat icon in the bottom right corner. Click it to ask questions, share feedback, report an issue, or anything else you need help with. Chat is available 7 days a week.
Tip: Chat is the recommended way for customers on the Core Plus plan to reach support.
Promotional side
After your data is imported, use the system to let your people know that you have a new management platform.
Send a mass email to your church
Use the email template builder in One Church Software to create a graphically rich email message.
Link to the About One Church Software page if you'd like to give recipients more context.
Use the sample email copy below as a starting point.
Tip: Sample email copy you can adapt:
Church Family,
We are excited to announce that we have started using One Church Software, an online church engagement tool that will help us stay better connected as a church. We are passionate about our mission of [insert your mission statement] and we believe this software will help us live that out.
With this tool you will have access to our various ministry areas — connecting with groups or serving teams, learning about church events, watching sermons, and more. When you have a few minutes, take a look at the brief overview of One Church Software.
Blessings,
Your Pastor

Tip: Instead of granting access to everyone, you can encourage your congregation to register for an account themselves using the Register button on the login page (or in the My One Church App). The benefit is that you avoid granting access to more people than needed.
Encourage members to set up recurring giving
Ask your congregation to set up recurring giving within One Church and to confirm their contact information is accurate while they are there.
Let people know about the My One Church App
Members can download the My One Church App from the following stores:
In the app, members search for your church by ZIP code. Make sure at least one campus has an address set under Settings & Tools > Your Organization > Campuses. If you don't use campuses, set the church mailing address under Settings & Tools > Your Organization > Account Settings. Without an address, your church will not appear in the app.
You can also allow people to register for access by sharing your account portal URL: [subdomain].onechurchsoftware.com.
You can also revoke access if needed.
